Material Accounting System in Pakistan
A material accounting system records every receipt, issue, return, transfer and wastage of material against the project, batch or cost centre that consumed it, then values the closing stock. XSoft.pk supplies it from PKR 3,999 per month as part of its inventory and ERP modules, cloud hosted with support from Lahore.
In construction, manufacturing, engineering and public-sector contracting, the largest controllable cost is material. Yet in most Pakistani firms material accounting stops at a stores register that records quantity in and quantity out, with no link to the project that consumed it and no valuation of what remains.
The result is the familiar year-end argument: stores shows a balance, the accounts department disagrees, the site engineer says material was used on a different job, and the difference is written off. Nothing is stolen in the story — the record simply never captured who took what, when, and for which cost centre.
A material accounting system closes that gap by making every movement a document with an owner and a destination. It is not a separate product in XSoft.pk; it is the stores-side configuration of the inventory and ERP modules, which is why it can be live in a week.

What does a material accounting system record?
The scope below is what civil contractors, manufacturers and engineering firms actually ask for once the stores register is replaced.
- Material master with codes, units of measure, specifications and approved suppliers
- Goods receipt against purchase orders, with inspection and rejection handling
- Material requisition from site or production, with approval before issue
- Issue notes tagged to a project, work order, batch or cost centre
- Return of unused material back to stores with valuation impact
- Wastage, scrap and shortage recording with reason codes and approval
- Inter-store and inter-site transfers with dispatch and receipt confirmation
- Closing stock valuation on FIFO, weighted average or standard cost, per location
Material accounting vs inventory management
Inventory management answers “how much do we have”. Material accounting answers “how much did this specific job consume, and what did it cost”. The difference matters because the second question drives pricing, billing and profitability.
A distributor needs inventory: stock levels, reorder points and turnover. A contractor or manufacturer needs material accounting: consumption by project or batch, wastage against norms, and a closing stock figure that ties to the accounts. XSoft.pk configures both from the same module set, so a business that does both does not need two systems.
Material accounting system price in Pakistan
Pricing follows locations and users rather than material volume, because the cost sits in configuration and support.
| Scope | Monthly rent | One-time setup | Notes |
|---|---|---|---|
| Single store, single project | PKR 3,999 | PKR 13,000 | Purchase, issue, return and valuation |
| Multi-store with project tagging | PKR 4,999 – 5,999 | PKR 16,000 – 18,000 | Site-wise consumption and transfers |
| Material accounting inside full ERP | PKR 9,999 | PKR 25,000 | Linked to finance, procurement and production |
| Barcode or QR based stores operation | Quoted | Quoted | Handheld scanners and label printing |
How material accounting controls wastage
Wastage control needs a norm, not a report. The system stores an allowable consumption per unit of work — steel per tonne of structure, cloth per dozen garments, raw material per production batch — and compares actual issue against that norm. Any variance above the threshold is flagged for the site engineer to explain before the next requisition is approved.
That single control changes behaviour more than any report, because the person requesting material knows the previous request is still visible. Firms that adopt it typically find the largest savings in the first quarter, not from better pricing but from fewer unexplained issues.
Frequently asked questions
What is a material accounting system?
A material accounting system records the receipt, issue, return, transfer and wastage of material, tags each movement to the project, batch or cost centre that consumed it, and values the closing stock so stores figures reconcile with the accounts.
How much does it cost in Pakistan?
XSoft.pk material accounting starts at PKR 3,999 per month with a PKR 13,000 setup for a single store. Multi-store operations with project tagging are PKR 4,999 to 5,999 per month, and the module inside a full ERP is included in the PKR 9,999 ERP plan.
Can it track consumption by project or site?
Yes. Every issue note carries a project, site, work order or cost centre reference, so consumption and wastage can be reported per job. That is what makes job costing and client billing defensible instead of estimated.
Does it value closing stock automatically?
Yes. Closing stock is valued continuously on FIFO, weighted average or standard cost as configured, and the valuation posts to the accounts so the stores balance and the inventory figure in the balance sheet are the same number.
Can we use barcode scanners in the store?
Yes. Material codes can be printed as barcode or QR labels and scanned during receipt and issue, which removes the manual entry that causes most stock differences. Handheld scanners and label printers are configured during implementation.
Is it suitable for a construction contractor?
Yes, and contractors are the most common user. Site-wise issue, wastage against norms, inter-site transfers and closing stock valuation per site are exactly the controls a contractor needs to price the next tender accurately.
